1.   Introduction

Profyd is an education support company based in Lahore, Pakistan. We recruit, train, and employ tutors and professional staff who deliver online teaching and operational services on behalf of partner education companies that serve international students across the United Kingdom, United States, Canada, Ireland, Australia, and New Zealand.

We are committed to protecting the privacy of every person who interacts with us — including job applicants, current and former employees, website visitors, and the representatives of our business partners and clients.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, how long we keep it, and the rights you have. By using our website (profyd.com) or applying for any role with Profyd, you agree to the practices described in this policy.

If you do not agree with any part of this policy, please do not use our website or submit your personal information to us.

2.   Scope of This Policy

This Privacy Policy applies to:

  • Job applicants who apply for teaching, sales, marketing, HR, support, or any other role with Profyd.
  • Current and former employees, tutors, and contractors working with Profyd.
  • Website visitors who browse profyd.com, follow our social media, or contact us through any of our online channels.
  • Representatives of business partners, clients, and vendors who engage with Profyd.

Important note about students. Profyd does not operate any direct-to-consumer tutoring website and does not collect personal information from students, parents, or guardians through this website. Where our staff deliver lessons or services to end students, those students are clients of our partner companies (for example, math-tutoring platforms that engage Profyd to provide trained tutors). The privacy of those students is governed by the privacy policy of the relevant partner company, not by this policy.

5.   Legal Basis for Processing

Where applicable laws (such as the UK GDPR, EU GDPR, or similar frameworks) require a lawful basis for processing, we rely on the following bases:

  • Consent — when you voluntarily submit an application or sign up to receive communications.
  • Contractual necessity — to perform our obligations under an employment or contractor agreement.
  • Legal obligation — to comply with tax, labour, and regulatory requirements.
  • Legitimate interests — to operate, secure, and improve our business, provided your rights and interests do not override these interests.

6.   Sharing and Disclosure of Information

Profyd does not sell your personal information. We share your information only in the circumstances described below.

6.1  With Partner Companies and Clients

If you are hired and assigned to a project, we may share limited information about you — such as your name, photograph, qualifications, subject expertise, and availability — with the partner company you are supporting. This is necessary so that the partner can verify your suitability and coordinate the work you perform on their behalf.

6.2  With Service Providers

We use trusted third-party service providers to operate our business, including:

  • Cloud hosting and storage providers.
  • Communication platforms (such as WhatsApp, Zoom, Google Workspace, and Microsoft 365).
  • Payroll and accounting providers.
  • Background-check and verification services.

Marketing, analytics, and advertising platforms (such as Meta/Facebook Ads, Google Ads, and Google Analytics).

These providers are permitted to access your data only to perform tasks on our behalf and are obligated to keep it confidential.

6.3  For Legal Reasons

We may disclose your information when we believe in good faith that disclosure is necessary to:

  • Comply with a legal obligation, court order, or government request.
  • Enforce our terms, policies, or agreements.
  • Protect the rights, property, or safety of Profyd, our staff, our partners, or the public.

6.4  Business Transfers

If Profyd is involved in a merger, acquisition, restructuring, or sale of assets, your information may be transferred as part of that transaction, subject to standard confidentiality protections.

7.   International Data Transfers

Because our partner companies operate in the United Kingdom, United States, Canada, Ireland,

Australia, and New Zealand, limited information about Profyd staff (such as the details described in Section 6.1) may be transferred to, stored in, or accessed from countries outside Pakistan. Some of these countries may have data-protection laws that differ from Pakistan’s laws.

Wherever we transfer personal data internationally, we take reasonable steps to ensure it remains protected and is handled in line with this policy and applicable law.

8.   Data Retention

We retain your personal information only for as long as is necessary for the purposes set out in this policy.

  • Unsuccessful job applicants: Up to 12 months after the conclusion of the recruitment process, unless you ask us to delete it sooner or you consent to us keeping it on file for future roles.
  • Current employees, tutors, and contractors: For the duration of your engagement with Profyd.
  • Former employees, tutors, and contractors: For up to 7 years after termination of the relationship, or longer where required by tax, labour, or other laws.
  • Website visitor data: Up to 24 months unless otherwise required.

After the applicable retention period, we will securely delete or anonymise your data.

9.   Cookies and Tracking Technologies

Our website uses cookies and similar technologies to:

  • Remember your preferences and settings.
  • Measure traffic and analyse website performance.
  • Show relevant recruitment and brand advertising on third-party platforms such as Meta and Google.

You can control cookies through your browser settings. Disabling cookies may affect the functionality of our website.

  • Right to lodge a complaint — file a complaint with a competent data-protection authority.

To exercise any of these rights, please contact us using the details in Section 13. We will respond within a reasonable timeframe and in accordance with applicable law.

11.  Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include access controls, secure servers, encrypted transmission where appropriate, and confidentiality obligations for our staff and contractors.

However, no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your personal data, we cannot guarantee absolute security.

If we become aware of a security incident affecting your personal data, we will notify you and the relevant authorities where required by law.

12.  Third-Party Websites and Services

Our website and communications may contain links to third-party websites, applications, and services that we do not own or control, including our social-media pages on Instagram, Facebook, and Google.
